Keep track of what was agreed and collected on each project

Record for each project who the client is, how much you agreed, and what they've paid you so far. It's your own record; Bitácora doesn't charge your clients or issue invoices.

Each project can carry its client and its money: what was agreed and the payments you receive. It's only a record for you. Bitácora doesn't charge your clients or issue invoices, it doesn't travel with the project, and the AI doesn't read it.

Record it

  1. In Projects, open the card's ⋯ menu and choose Client and payments….
  2. In Recipient, search for the company, the person, or the list. If it doesn't exist, type it and choose to create it.
  3. In Agreed project total, type the amount and choose the currency.
  4. In Payments received, click Add payment and enter the date, the amount, and, if you like, a description.
  5. Click Save.

The bar shows how much you've Received and how much is still Outstanding. Collected everything left adds a payment dated today for the remaining amount.

See it all together

In My clients › Payments you have one row per project: recipient, agreed, collected, outstanding, start, and estimated delivery. You change each amount in its cell, and at the bottom is the Total per currency. Currencies aren't converted: each one adds up separately.

In Projects

With Show payments turned on, each card shows its client and how much of the agreed amount has been collected, and a box at the top shows what was agreed, what was collected, and what's left. If you have projects in several currencies, it says how many more there are. It's a preference for this browser: the same one as Show amounts on Home in Settings › Studio. That's also where you choose the Default currency for new projects.

On your phone

In Bitácora Lite, the Payments tab in My clients has what was agreed and collected on each project, with Log payment and Collected everything left.
